Who we are
Depot 17 is fleet-management software for organizations. This notice explains what data we process and how. The controller of that data is ФОП Соловей Євген Олександрович, м. Київ, вул. Миропільська, буд. 3, 02206 — full details are at the foot of this page.
Data we collect
Organization details (name, contact person, email, phone); user credentials (name, phone number, a password hash); and operational data your users enter (trips, mileage, refuelling, vehicles, passenger signatures). When you register we also record how you found us: the campaign tags in the link, an ad click id, the website you came from and the first page you opened. It is kept with your organization record and is not shared with anyone.
Location
If you use the freight module, each delivery status change and the consignee's signature are stored with coordinates and a time, reported by the phone's browser at the moment of the action. There is no continuous tracking of a driver or a vehicle: we do not collect routes, we have no trackers and we do not connect to telematics. With the module off, no coordinates are collected at all.
Files you upload
Photographs of consignment notes and delivery documents, contract scans, warranty cards and photographs of equipment, and passenger and consignee signatures are stored with the record they belong to, in your organization's own isolated database. Anything that leaves our server for a backup is encrypted first (see the Data and reliability page).
How we use it
Solely to provide the service: authentication, keeping the trip and cost log, generating reports for your organization and its donors, and billing.
Cookies and site analytics
The public pages of this site use Google Analytics 4. In the EEA, the United Kingdom and Switzerland it is off by default and starts only if you agree in the banner; your choice is kept in your own browser. Elsewhere analytics is on by default and can be switched off in the same place. We also remember which language you read the site in. In the admin panel consent is treated as refused wherever you are: the tag stores and reads no identifiers, and the sign-in token is cut out of the page address. The driver app has no analytics at all.
Storage and isolation
Each organization's data is stored in an isolated database. Access is limited by role and city; every change is recorded in an audit log.
Sharing
We do not sell your data. Besides us, only the providers the service cannot run without touch it: hosting in the European Union, where the server and the database live; an email service, which carries the reports and notices to the addresses you configure; encrypted backup storage, which receives a file it cannot read; the payment provider monobank, only when you pay by card, and we never see the card details; and the site analytics described below, which runs on the public pages and not in your panel. One case is your own doing: the public tracking link you create for a delivery shows the route, the cargo, the note number, the driver and consignee names and phone numbers to anyone holding it, and lets them confirm receipt. It can be revoked from the task, and stops working at once.
Retention and deletion
Data is kept while your account is active. You may request deletion of your organization's data by contacting us.

Acceptance
By using Depot 17 you agree to these terms on behalf of your organization.
The service
Depot 17 provides a web driver app and an admin panel for logging trips and fuel and generating reports.
Accounts and passwords
You are responsible for keeping passwords confidential and for activity under your account. Administrators manage driver access.
Acceptable use
Do not use the service unlawfully, attempt to disrupt it, or access data that is not yours.
Fees and trial
Two vehicles and one dispatch driver are free for 30 days, and every module is available during the trial (the assets module up to 250 items). After that it is €8 per vehicle per month and €8 per dispatch driver per month; you are billed for the vehicles on your plan, and the account owner can reduce the plan under Subscription or by archiving a vehicle. The contracts register is included with any paid plan. The assets and stock module is billed per month by capacity: up to 250 items €19, up to 1000 items €49, up to 2000 items €70, up to 4000 items €99; paying a year ahead takes 15% off that module. An asset with a serial number counts as one item, and a stock item type counts as one item however many pieces are held; above 4000 items the price is agreed separately. Card payment is recurring on the cadence you choose — monthly, quarterly or annually: the card used for your first payment is saved and charged automatically on each renewal until you remove it under Subscription in the admin panel. An invoice for bank transfer is raised quarterly or annually; monthly on that route is available on request. Prices are set in euro; card payments are charged in hryvnia at the National Bank of Ukraine rate on the day of the charge, and an electronic receipt is emailed for every payment. The service is supplied solely in electronic form over the internet, with no material carrier.
Currency and exchange rate
The price list is stated in euro. Organizations registered in Ukraine are invoiced in hryvnia at the official National Bank of Ukraine rate on the date of the invoice. Organizations outside Ukraine are invoiced in euro. Because the rate moves, the hryvnia amount of each invoice may differ from the previous one even when the euro price has not changed.
Availability and liability
The service is provided "as is". We make reasonable efforts to keep it available but do not guarantee uninterrupted operation and are not liable for indirect damages to the extent permitted by law.
Termination
You may stop using the service at any time. We may suspend access for breach of these terms or non-payment.
Changes
We may update these terms; material changes will be notified through the service.
