How a contract slips through
The date lives in one person’s head
One colleague remembers when the lease ends. They are on leave or have left, and the contract rolls over for another year on the old terms.
Auto-renewal with a notice period
The contract renews itself unless you give notice 90 days ahead. Everyone remembers the end date; nobody remembers the notice date.
The scan is somewhere in the mail
To answer "until when is the warehouse rented", someone has to dig out an old e-mail or walk to the archive.
How it works
Enter the contracts once, and the register keeps watch.
Add them or import them
One at a time or all at once from an Excel template: type, counterparty, number, dates, amount and how often it is paid, with the scan attached.
Say how it renews
Fixed term, auto-renewing or open-ended. For an auto-renewing contract enter the notice period, and the countdown runs to the day you must give notice, not to the end date.
Get the reminders
The first e-mail 60 days before, the last warning 10 days before. It goes to the person responsible for the contract and to the main administrators.
See it all in one list
Colours show what is about to expire and what already has. Contracts are grouped into vehicles, premises and other.
Vehicle insurance keeps itself current
Tie an insurance contract to a vehicle and the vehicle card takes its insurance date from the contract. Renew the contract and the car is up to date.
A read-only view for the director
The main administrator can send the director a link to contracts with close deadlines, assets and fleet totals. It changes nothing, you see how often it was opened, and only the main administrator can revoke it.
Everything exports to Excel
The main administrator downloads the whole organisation in one Excel file whenever they want: contracts, assets, acts, stock and their history.
