The table says thirty, the shelf holds twenty-two, and nobody knows when the difference appeared.
How it works
One item type is one line, however many pieces you hold.
Items by quantity
Balances for each place, consumable or returnable, with fractions allowed for things like cable by the metre.
Issue with an act
Issue to a person with a materials issue act, or take things back with a return act. One printed page with both signatures.
A minimum level
Set a minimum and the line turns red in the list. The low-stock e-mail comes never, once, weekly or daily: your choice.
Count the stock
Count what is on the shelf and see the difference against the records. A shortage is booked as a write-off and a surplus as a receipt, when you decide to.
Part of the assets module
Stock lives next to the asset register: laptops by serial number, cables by quantity, one stocktake for both.
A read-only view for the director
The main administrator can send the director a link to contracts with close deadlines, assets and fleet totals. It changes nothing, you see how often it was opened, and only the main administrator can revoke it.
Everything exports to Excel
The main administrator downloads the whole organisation in one Excel file whenever they want: contracts, assets, acts, stock and their history.
