Someone leaves, and what they were holding was never written down. Without a signed act there is nothing to ask back.
A stocktake takes a week
Print the table, walk every room, reconcile the differences by hand, and do it all again next year.
Write-offs leave no trace
The broken item was written off by word of mouth, the donated one went to a partner, and the spreadsheet still lists both.
How it works
From the first entry to the stocktake, every step leaves a document.
Build the register
By hand or from an Excel template, up to 1 000 rows at a time. Your own inventory number or an automatic one, the serial number, the warranty with its card attached, and where it came from: bought or donated.
Hand it over with an act
A numbered handover act: print it and sign by hand, or sign on the screen. Returns and moves between places are acts too, and every item keeps its history.
Repairs and write-off
Track a repair until it is closed. Write off by donating, transferring, selling or discarding, approved by one to three people you choose, with an act to print.
Stocktake
Count a place against the register: found, missing, standing elsewhere. The result is a report of the differences, and you decide what to do with each.
Stock by quantity in the same place
Cables, cartridges and chargers are counted by quantity per place, with a minimum level and an issue act. Thirty cables are one item.
A read-only view for the director
The main administrator can send the director a link to contracts with close deadlines, assets and fleet totals. It changes nothing, you see how often it was opened, and only the main administrator can revoke it.
Everything exports to Excel
The main administrator downloads the whole organisation in one Excel file whenever they want: contracts, assets, acts, stock and their history.
